Before you begin
You need admin access to your account, a list of contacts to import (CSV or an export from your current CRM), and access to the DNS records for the domain you send email from. Have those three things ready and the whole setup takes an afternoon of focused work spread across the first week.
Day 1–2: account foundations
Set the basics so every later step inherits the right branding and permissions.
- Add your business name, logo, timezone and business hours under Settings → Business Profile.
- Invite your team and assign roles — admin, user or restricted — so reps only see their own pipeline.
- Provision or port a phone number and complete carrier registration so SMS delivers reliably.
- Authenticate your sending domain with the DNS records shown in Settings → Email Services.
Day 3–4: import and organise
Import contacts with the CSV mapper, matching each column to a standard or custom field. Import a 20-row sample first, confirm the mapping looks right, then run the full file. Tag every import batch (for example source-legacy-crm) so you can always isolate or roll back a batch later.
- Create custom fields before importing — fields created afterwards will not backfill.
- Build your pipeline stages to match how your team actually sells, not an idealised process.
- Connect your calendar so booking links reflect real availability.
Day 5–7: turn on automation
Start with the three automations that pay for the platform on their own: an instant new-lead response, a missed-call text back, and an appointment reminder sequence. Each is available as a template — install it, change the copy to your voice, and switch it live.
